Take control of what you track

Tracker Settings let you define exactly which platforms, keywords, locations, and accounts your tracker pulls from. You can also filter out unwanted content, set up sub-trackers to break down your results, and apply time or volume limits—so your campaign stays focused, relevant, and organized.

What You Can Do in Tracker Settings

  • Define what to track: Add keywords, hashtags, phrases, or @mentions to capture the conversations you care about.

  • Choose your sources: Select platforms like X, Instagram, TikTok, YouTube, and more.

  • Apply filters: Narrow your results by country, language, domain, or account.

  • Segment your data: Create sub-trackers to separate themes, compare strategies, or focus on specific goals.

  • Set limits: Control when your tracker starts and stops—or cap the number of posts collected.


How to Use Tracker Settings

Tell your tracker exactly what to listen for.

To open Tracker Settings:

  • Go to Listening & Campaigns

  • Select your tracker

  • Click Tracker Settings in the left-hand menu

Inside, you’ll find controls for:

  • Tracked and excluded keywords or hashtags

  • Platform and language filters

  • Country and domain filters

  • Specific accounts (tracked or excluded)

  • Start/end dates or post volume caps

  • Sub-trackers

Use these to:

  • Fine-tune what your tracker listens to

  • Segment campaigns into focused views

  • Control post volume and campaign duration

  • Focus on the platforms, regions, or voices that matter


Keyword Rules & Boolean Logic

Use Boolean logic to control how keywords are matched.

  • OR: Match posts that include any listed term
    Example: Hawaii OR Oahu (each in a separate keyword box)

  • AND: Match posts that include all terms
    Example: Hawaii Oahu (in one box, separated by space)

  • Exact Phrase: Use quotes to match an exact string
    Example: "Hawaii vacation package"

You can also:

  • Choose platforms to track

  • Exclude retweets

  • Use Do Not Include to filter out terms (e.g., exclude discount or sale)


Sub-Trackers

Sub-trackers let you create focused views within a campaign—without collecting extra data.

Use sub-trackers to:

  • Compare how different keywords or hashtags perform
    Example: Track #Hawaii as your main topic, then use sub-trackers for #Maui, #Waikiki, and #Oahu

  • Separate paid vs. organic content
    Example: Add a sub-tracker for #ad to see sponsored content apart from everything else

  • Analyze themes like locations, products, or topics
    Example: For a travel campaign, use sub-trackers to compare posts about beaches, hiking, and restaurants

To set up a sub-tracker:

  1. Go to the Sub-Trackers section

  2. Add the keywords or hashtags you want to track separately (e.g., #Maui, #Waikiki)

  3. Click Save

  4. When prompted, choose Reanalyze Previous Data if you want to apply it retroactively


Filter by Language & Location

Filters help you keep results relevant by focusing on specific languages or countries.

Use language/country filters when:

  • You want to localize a global campaign

  • You're analyzing sentiment in a single language

  • You're cutting down noise from unrelated regions

To apply filters:

  1. Expand the Filters section

  2. Expand Filter by Country or Filter by Language

  3. Select your options

Posts without location or language data may be excluded.

Country filter: Collects posts from users in the country you select.

Language filter: Collects posts written in the language you select.


Filter by Accounts & Domains

Focus on the sources that matter—or block the ones that don’t. This is especially useful if:

  • You’re tracking known influencers or brand partners

  • You only want posts from credible news sources

  • You need to block spammy accounts or unrelated content

Get posts from specific accounts

Use this filter when you only want posts from specific social media accounts or influential voices—great for tracking your brand, partners, or selected influencers.

How to do it:

  1. Expand the Filters section

  2. Expand Get posts from these accounts

  3. Choose accounts by:

    • Tag (e.g., “Brand Ambassadors”)

    • Manual entry of usernames or handles

Supported on:

  • X (Twitter)

  • Instagram (professional accounts only)

  • TikTok

  • YouTube

  • Facebook Pages

You can also choose to include all authenticated influencers for a platform.

Include content from specific domains

Focus your results on content from trusted websites, media outlets, or blogs. This is especially helpful when monitoring earned media or press coverage.

How to do it:

  1. Expand the Filters section

  2. Expand Get posts from these domains

  3. Enter domains like nytimes.com, techcrunch.com, or other publications relevant to your campaign

Ignore posts from specific accounts

Keep your tracker clean by excluding spammy or off-topic accounts. This is useful when you want to block known usernames or deprioritized sources.

How to do it:

  1. Expand the Filters section

  2. Expand Ignore posts from these accounts

  3. Filter by:

    • Tag (e.g., “vendors”, “low priority”)

    • Manual entry of usernames (X, Instagram, YouTube)

Once added, posts from these accounts will no longer appear in your tracker.

Ignore posts from specific domains

Getting irrelevant articles or low-quality coverage in your results? This filter helps clean up your results by excluding specific websites.

How to do it:

  1. Expand the Filters section

  2. Expand Ignore posts from these domains

  3. Enter the domains you want to filter out

Focus on Verified Users

Want to hear only from trusted or high-profile voices? You can filter your tracker to include posts only from verified users on supported platforms.

Great for:

  • Influencer campaigns

  • Media or PR monitoring

  • Credibility-focused reporting

How to filter by verified users:

  1. Expand the Filters section

  2. Toggle on:

    • Only collect posts from verified X (Twitter) users

    • Only collect posts from verified TikTok users


Start and Stop Your Tracker

Control exactly when your tracker collects data—and how much.

You can set:

  • A Start Date (for new trackers only)

  • A Future End Date (automatically stops tracking)

  • A Post Volume Limit (stop collecting after a set number of posts)

How to configure tracking windows and limits:

  1. Expand the Start and Stop Tracker section

  2. Set your preferred:

    • Start Date (cannot be changed for existing trackers)

    • Future End Date

    • Post Volume Limit

All times are in Eastern Time (New York).

Example: Running a 24-hour campaign?

  • Start: 12:00 AM ET

  • End: 11:59 PM ET

Want to limit the number of posts your tracker collects?
Set a post volume limit to automatically stop tracking once you've reached a certain number. It's a helpful way to stay within your monthly quota or test how much activity your campaign generates without over-collecting.


Edit the Name of Your Tracker

Give your tracker a name that’s easy to recognize—especially if you're managing multiple campaigns or sharing reports.

You can customize:

  • Tracker Name: Appears in your dashboard and reporting

  • Custom URL: Create a clean, branded link for sharing

How to rename your tracker:

  1. Open Tracker Settings

  2. Edit the tracker name field or custom URL field

  3. Click Save


Pause or Delete Your Tracker

You can stop a tracker two ways:

  • Pause: Stop collecting new posts but keep all existing data

  • Delete: Permanently remove the tracker and all its data

To pause a tracker:

  1. Go to Listening & Campaigns

  2. Select your tracker

  3. Toggle it from On → Off

Your tracker will stop collecting new posts, but your data will stay accessible in your account.

To delete a tracker:

  1. Open Tracker Settings

  2. Click Delete and confirm

⚠️ Heads up: Deleting a tracker won’t restore your post limit. Since Keyhole collects data in real time, any posts already pulled still count toward your monthly quota—even if the tracker is deleted.


Reanalyze vs. Only Apply to Future Data

Decide whether to apply changes to past posts or only new ones. When you update your tracker (keywords, filters, accounts, etc.), you’ll be prompted to choose how to apply the changes.

Reanalyze Data

Apply the changes to everything your tracker has already collected.

Use this if:

  • You want consistent reporting

  • You’ve added sub-trackers or new filters

  • You’re cleaning up irrelevant posts

Reanalyzing may take time based on the size of your dataset.

Only Apply to Future Data

Apply the new settings to new posts only—leave existing data unchanged.

Use this if:

  • You’re testing a new keyword or segment

  • You want to compare past vs. future data

  • You’re layering in new views without disrupting current results
