Manage your Keyhole account settings, billing, users, and permissions—all in one place.

How to Manage Your Account

Update your login email, add or remove users, adjust billing details, or connect social media accounts for tracking—all from your Account Settings. This guide walks through each section so you know where to go and what to do.


Where to Find Your Account Settings

To manage your subscription, billing, users, or connected accounts:

  1. Log in to your Keyhole account

  2. Click your account username in the top right corner

  3. Select Settings

Use the left-hand menu to:

  • Edit Account

  • Change Password

  • Manage Users

  • Manage Connected Accounts

  • White-Label Branding

  • Update Billing / Subscriptions


Edit Account

To update your general account information including your email:

  1. Click your username in the top right, then go to Settings > Edit Account

  2. Here you can update:

    • Name

    • Email (updates your contact and login email)

    • Company

    • Phone number

    • Notification preferences:

      • Send me weekly tracker emails

      • Send me alert notifications by email

      • Send me publishing emails

📌 NOTE: Only the Owner role can update the login email, manage subscriptions, users, and billing. To transfer ownership of the account, contact [email protected].


Change Password

If you know your password and want to update it:

  • Click your username in the top right, then go to Settings > Change Password

If you forgot your password:

  1. Click Sign In, then choose Forgot Your Password?

  2. Enter your email to receive a password reset link


Manage Users

Working with a team or managing clients? You can give others access to your Keyhole account—no shared logins required.

Each user has their own login and access level, based on one of three user roles. This makes it easy to collaborate securely while maintaining control over who can view or edit what.

  1. Click your username in the top right, then go to Settings > Manage Users

  2. Click Add New User

  3. Enter the email address and assign a role:

    • Administrator

    • Editor

    • Viewer

  4. Click Send Invitation

Once you’ve added your team, they just need to follow the link sent to them via email to join your account.

User Roles

Role

Permissions

Administrator

Can manage and backfill trackers, invite and remove users, and view the activity log. Cannot access billing or subscriptions.

Editor

Can create, pause, and restart trackers. Cannot manage users or subscriptions.

Viewer

Can view trackers and dashboards. Cannot create or edit anything.

Each role includes the appropriate level of access to support collaboration while keeping account controls centralized.

Why Add Users?

Adding users lets your team or clients work in one shared account—while keeping logins secure and access levels clear.

Benefits include:

  • Individual logins for each user

  • Defined access levels for better control

  • Shared access to dashboards, trackers, and reports

  • User activity logs to track changes

  • No need to purchase separate accounts for your team

To view or manage users:

  • Click Show Removed Users to view previously removed users

  • Click User Activity Log to view recent team activity


Manage Connected Accounts

Connecting a social media account gives Keyhole permission to collect detailed data for tracking.

To connect a platform:

  1. Click your username in the top right, then go to Settings > Manage Connected Accounts

  2. Click Connect under the desired platform

  3. Log in and grant access

✅ For X (Twitter) and Facebook, authenticate using your personal account, even if you're tracking a Business Page or handle.

✅ For Instagram, authentication requires a Business or Creator account.

✅ For LinkedIn, you must have Super Admin access to the LinkedIn Page you want to track.

Keyhole never posts on your behalf or shares your credentials.

Accounts can be removed at any time.


White-Label Branding

Customize how your brand appears across trackers and downloadable reports.

To apply your branding:

  1. Click your username in the top right, then go to Settings > White Label Branding

  2. Add the following:

    • Brand Color – Replaces Keyhole’s blue on tracker pages

    • Primary Logo – Used in the header and watermark (if no secondary logo is added)

    • Secondary Logo – Used on charts and PDF reports.

  3. Click Save Changes

  4. View the live preview showing your updates

TIP: Your branding will appear on all shared dashboards and exported reports—great for client-facing work.


Billing / Subscriptions

Manage your plan, update payment details, and access invoices—all from one place.

Click your username in the top right, then go to Settings > Billing / Subscriptions

To view your current subscription

Click the accordion under Current Plan to view:

  • Hashtag Tracking – Monthly post volume, number of trackers, keywords per tracker

  • Account Tracking – Number of connected social media profiles

To change your credit card details

  • Click Change Credit Card to update your payment method

To view invoices & change business info

  • Click View Invoices to see past payments. From there, you can download, view, or email.

  • To update business information on your receipts like company name, tax ID, or billing address, go to Receipt Settings in the bottom-left corner of the View Invoices page.

To check your next billing date

Keyhole subscriptions renew automatically based on your plan:

  • Monthly plans renew on the same calendar day each month.
    For example, if you subscribed on October 3rd, your next payment will be on November 3rd.

  • Annual plans renew one year from your original sign-up date.
    For example, if you started your plan on January 15, 2025, it will renew on January 15, 2026.

To check your next billing date

  • Go to View Invoices

  • Next billing data and amount is shown at the top right corner of the modal


Cancel Your Subscription

To cancel your subscription:

  • Click your username in the top right, then go to Settings > Billing / Subscriptions

  • Then click Cancel Subscription

Cancellation Policy

Your cancellation will take effect at the end of your current billing cycle—monthly or annually, depending on your plan.

  • Refunds aren’t available once your current billing cycle has started.

  • If you cancel and choose to return later, your original pricing may no longer be available.

  • If you cancel prior to your next billing cycle, you will not be charged for future months.

Billing Timelines

  • Monthly plans renew on the same calendar day each month (e.g., billed on the 1st = billed again on the 1st)

  • Annual plans renew one year from your sign-up date (e.g., started Jan 1, 2025 = renews Jan 1, 2026)

Note for PayPal and Custom Plans:

If you’re on a custom plan or paying via PayPal, cancellation takes effect immediately. Please wait until you no longer need access before canceling or pausing your account.

Why was I charged an extra transaction fee?

Keyhole only charges the amount shown at checkout and listed in your order confirmation. You’ll see the same amount reflected on your receipt.

If you notice an additional charge—such as a foreign transaction fee or international processing fee—this is applied by your bank, not by Keyhole.

Even though we charge in USD, some banks may still apply extra fees for international purchases. These charges depend entirely on your card type and your bank’s policies.

Will I be charged automatically next month?

Yes. Subscriptions renew automatically each billing cycle.

If you cancel prior to your next billing cycle, you will not be charged for future months.

Cancel any time from Billing / Subscriptions or contact [email protected] to stop future charges.
